Email Settings

How your agent handles email — when it replies, who's on the wire when it does, and where your summaries land. These are account-wide: they apply to every thread, not per contact. They live under Configure → Your Zinley → Personality & voice, in the Behavior section.

Email replies — when your agent answers

Setting What happens
Reply to every email (default) Your agent replies to every inbound email it's allowed to handle.
Only when addressed On CC'd group threads, it engages only when someone actually addresses it — otherwise it reads along quietly. One-to-one mail still gets an answer.
Never auto-reply Your agent never auto-answers. Every email is still saved to your dashboard — it just doesn't reply.

Only when addressed is the setting for people who CC their agent onto busy threads and don't want it chiming in on every message. Never auto-reply turns email into a read-only feed: you still get the tracker and the summaries, but nothing goes out automatically.

Who stays on email threads

Email replies decide whether your agent writes. This decides who sees it.

  • Loop me in (default) — your agent replies-all, so you stay on the thread and read every exchange as it happens. Nothing happens behind your back.
  • Hands off — your agent deals with the other person directly. It mirrors their recipient list instead of forcing you onto the CC, and keeps you posted with a separate heads-up thread plus everything in Emails. It pulls you in when there's an actual decision to make.

Hands off isn't unsupervised. You still see the whole transcript in the tracker and in your daily brief — you just stop getting a copy of every individual message in your inbox.

Notification email

The address where Zinley sends its summaries — thread recaps, call summaries, and the daily brief. It defaults to your account email; point it somewhere else if you'd rather these land in a different mailbox.

This is separate from your agent's own address. People write to {username}@me.zinley.com; Zinley writes to you at your notification address.

Daily brief by email

Your morning rundown can arrive as an email from your agent's address.

  • On/off — toggle brief delivery.
  • Time — when it's sent, default 07:30.
  • Timezone — your local zone, so the time means what you think it means.

Replying to the brief email is a command. Answer it like you'd answer a person and your agent acts on it. Full details on Daily brief.

Pausing your agent

Two ways to make it stop:

  • For 24 hours — reply STOP (the entire body of the message) to any Zinley email. Inbound handling pauses and resumes on its own. See Inbound email.
  • Indefinitely — set email replies to Never auto-reply.

To silence one specific person rather than everyone, block them on Trusted & blocked.

Sending: which address does it use?

By default your agent sends from its own address. Ask it in chat — "ask Zinley to email Mai the revised quote" — or just reply inside a thread it's already handling.

To send from your personal Gmail instead, say so explicitly in the conversation: "send this from my Gmail." It's opt-in every time — Zinley never quietly borrows your personal mailbox. This requires Gmail to be connected under Connected services.

Approval before anything goes out

Across email and phone, when it acts for you starts at Show me first: anything outward-facing — a send, a commitment, a booking — is proposed to you and waits for your approval. Switch it to Just do it if you want your agent to act right away. The control lives with the rest of your agent's behaviour settings on Agent setup.
